FAQ

Employee scheduling software, answered

Straight answers for managers comparing AI staff scheduling tools.

What is MiniScheduler?
MiniScheduler is easy employee scheduling for independent shops. Paste your team list, run MiniAI to build a full week (open, floor, and close under your labor hour budget), then publish so the team gets it. Built for people who still write the schedule by hand or hate their current tool — not for enterprise HR.
Who is MiniScheduler for?
Independent shops: retail, coffee, small restaurants, salons, spas, and service businesses where a manager still builds next week in Excel, Notes, a group chat, or a clunky app they do not want to open. One location or a handful of sister stores — not an enterprise HR suite.
How does MiniAI scheduling work?
You set store hours, role minimums, and a weekly hour cap. One click runs MiniAI to place people into open, floor, and close coverage. Unpaid lunch rules are applied so paid hours and clock hours stay honest. MiniAI can also explain the week in plain language before you publish.
How much does MiniScheduler cost?
One plan: $15 per location per month after a 14-day free trial, on one Stripe bill. No per-seat fees. Add sister stores in Settings (up to 10). Includes MiniAI schedules, explain, publish, marketplace, email, SMS (opt-in), pre-shift voice, print, and CSV export.
What is included in the free trial?
The 14-day trial is the full product for your first location — generate, publish, marketplace, email, optional SMS, voice reminders, print, and CSV. Add more locations during the trial if you want; each extra store is $15/month on the same bill. Promo codes are accepted at checkout.
Can I import my team without typing everyone?
Yes. Paste a CSV, a Slack message, or a messy list. MiniAI extracts names, emails, phones, roles, and target hours so you can review and add people in bulk.
Can I run more than one location?
Yes. Add sister stores in Settings → Locations. Each location is $15/month on the same bill, with its own schedule and team. Switch stores from the name at the top. You can assign a manager to one shop only. This is for independent operators who own the group — not a franchise control tower or enterprise WFM suite.
How does cross-location shift trading work?
Only if you want it. It stays off until the owner and both stores turn it on, then you mark who may claim a dropped shift at another location. Hours stay with the store that needed the shift. Same-owner sister stores only — franchise join is not live.
What is the shift marketplace?
Staff can drop a shift they cannot work and eligible coworkers can claim it in-app. Managers can require approval or auto-approve. Cross-location claims are a separate opt-in. Push alerts when a shift is offered are still on the roadmap; claims already show in the store portal.
Can employees see their schedule, set availability, and request time off?
Yes. Invite them by email. They get a portal for the published week, weekly availability, and time-off requests (when you enable those features). Draft weeks stay private until you publish.
Does MiniScheduler send texts and phone calls?
Yes, if the employee opts in. Publish can email the week; optional SMS and MiniAI pre-shift voice calls are live. Employees control email, text, and voice on My schedule. SMS consent is documented at /sms-consent.
Can I print or export the schedule?
Yes. Print a clean weekly schedule for the office or break room. Export a CSV of the week (name, email, date, times, role, paid hours, clock hours). That spreadsheet is generic — ADP or payroll-shaped import is not live yet.
Does it sync with Google Calendar or run payroll?
Not yet. Google Calendar sync is on the roadmap. There is no time clock, no payroll, and no HRIS. Use the week CSV for your own records until payroll export ships.
Do I need a mobile app? How do I sign in?
MiniScheduler is a web app — it works in the browser on phones and computers. Sign in with email and password, or an invite link from your manager. Google Sign-In is not offered.
Who should not use MiniScheduler?
Multi-unit enterprise workforce-management suites, franchise control towers, and teams that need payroll, time clocks, or HRIS in the same product. If you are an independent operator with one shop or a handful of sister locations, it is built for you.
