Privacy Policy

MiniScheduler ("we," "us") provides AI-assisted employee scheduling software for independent retail and service teams. This Privacy Policy explains what information we collect, how we use it, and your choices. It applies to minischeduler.com and related app experiences.

This is a plain-English policy for an early-stage product. It is not legal advice. If you need formal counsel for your business, talk to a lawyer.

1. Who this covers

  • Account holders (store owners and managers who sign up)
  • Team members whose names, contact info, availability, or schedules are entered by their employer into MiniScheduler
  • Website visitors who browse marketing pages without an account

When a store uses MiniScheduler to schedule employees, the store is responsible for the employee data it uploads. We process that data to provide the service on the store's instructions.

2. Information we collect

Account and billing

  • Email address and password (auth handled by our provider)
  • Store name, public URL slug, timezone, optional ZIP code
  • Billing status and Stripe customer/subscription identifiers (card numbers stay with Stripe)

Workforce and scheduling data

  • Employee names, emails, phone numbers (if provided)
  • Roles, availability, time-off requests, shift assignments, labor hours
  • Text you paste when importing a roster (processed to extract structure)

Technical data

  • Session and preference cookies needed to keep you signed in and remember theme
  • Basic server logs (IP, user agent, timestamps) for security and reliability

We do not currently use Google Analytics or Meta Pixel advertising cookies. If that changes, we will update this policy.

3. How we use information

  • Provide and improve scheduling, portals, and notifications
  • Run MiniAI features (import parsing, schedule generation, explanations)
  • Authenticate users, prevent abuse, and secure the service
  • Process subscriptions and send transactional email (invites, schedule publish notices)
  • Respond to support requests

4. AI processing (MiniAI)

MiniAI may send relevant scheduling or roster text to our AI infrastructure providers to generate schedules or parse employee lists. Outputs can be wrong. Managers must review before publishing. Do not paste highly sensitive data you are not authorized to process.

5. Who we share with

We use service providers ("processors") to run MiniScheduler, including:

  • Supabase — database and authentication
  • Vercel — hosting and delivery
  • Stripe — payments and customer portal
  • Resend — transactional email (when configured)
  • AI providers (e.g. xAI) — MiniAI features

We do not sell personal information. We may disclose data if required by law or to protect rights and safety.

6. Cookies

We use essential cookies and similar storage for login sessions and security. We may store a preference for light/dark theme. These are required for the product to work. We do not use third-party advertising trackers at this time.

7. Retention

We keep account and scheduling data while your store uses MiniScheduler and for a reasonable period afterward for backups, disputes, or legal obligations. You may request deletion of your store account; employee-level requests should usually go through the employer first.

8. Security

We use industry-standard safeguards (encryption in transit, access controls, hosted infrastructure). No method of transmission or storage is 100% secure.

9. Your choices and rights

  • Update account and store settings in the product
  • Manage or cancel billing via Stripe Customer Portal when available
  • Request access or deletion by emailing us (see Contact)

Depending on where you live, you may have additional rights under state or other privacy laws. We will respond to valid requests as required.

10. Children

MiniScheduler is built for businesses, not for children under 13. We do not knowingly collect data from children under 13.

11. Changes

We may update this policy. We will post the new date at the top of this page. Continued use after changes means you accept the updated policy.
